LETTER WRITING PATTERN: FORMAL LETTER WRITING
These are letters written to a person whom you either do not know or do not know very well, for example, letters to newspapers, to people asking for references, etc. They are therefore similar to business letters although, unlike business letters, they may be hand written.
1) Heading
Your address is written in the top left corner unlike personal letters. The block style ( straight up and down) is usually preferred.
2) Inside address
Unlike personal letters,the name, title and address of the person to whom you are writing is also given below your address on the left. The date is on the right.
3) Salutation
If you know the name of the person to whom you are writing then you may use it in your salutation: Dear Mr........., Dear Mrs......., Dear Miss......if you do not know the name of the addresses, begin Dear Sir, or Dear Madam, Note that the first letter of Sir is a capital
4) Body of the Letter
This should be brief and to the point. Note that, unlike personal letter which generally start below the comma of the salutation, the body of the formal letter starts next to the margin. Each paragraph starts 3-5 spaces in form the left margin.
5) Closing
If you know the name of the addresses (e.g. Miss Brown), the correct close to use is Your sincerely has a small s ); if you do not know the name of the addressee, end the letter with Your faithfully.
6) The writer often prints or types his name beneath his signature since signatures are often difficult to read.
